1. Who we are and how to contact us

This policy explains how Coachible handles personal information when you visit coachible.co.uk, create an account, use the Coachible coaching-business platform, or communicate with us.

Coachible operates the Coachible platform and is responsible for the personal information it processes as a controller under this policy. For privacy questions or requests, contact hello@coachible.com.

2. Whose information we process

We may process information about prospective customers, coach account holders, their authorised team members, and people who interact with a coach through a website, booking form, enquiry form or client portal created using Coachible.

Coaches are generally responsible for deciding what client information they collect and why. They act as the controller for that coaching-client information. Coachible is generally expected to act as their processor when it handles that information on their instructions. Coachible may separately act as a controller for account administration, platform security, billing and its own business communications.

3. Information we may collect

  • Account and contact details, such as name, email address, login identifiers and account preferences.
  • Business profile details, subscription and transaction status, support requests and communications.
  • Information coaches choose to store, such as client contact details, bookings, goals, session notes, messages, assessments, habits, worksheets, programme progress and uploaded files.
  • Content and instructions submitted to AI-powered features, together with generated outputs.
  • Technical and security information such as device/browser details, log data, authentication events and service diagnostics.
  • Information received from connected services when a user chooses to connect them, subject to the permissions granted.

Please do not submit special-category information (for example, health information) unless you have a lawful basis, have provided any required privacy information, and the feature is appropriate for that information. Coaches remain responsible for deciding whether they can lawfully collect and use sensitive client information.

4. Why we use information

Depending on the relationship and context, information may be used to create and secure accounts; provide platform features; manage subscriptions and support; store and display coaching records at a coach’s direction; operate AI assistance requested by users; maintain backups, troubleshoot and prevent fraud or abuse; communicate service notices; and meet legal obligations.

We will identify and document an appropriate lawful basis for each controller activity, such as contract, legitimate interests, legal obligation or consent where consent is genuinely required. This policy is not a substitute for the coach’s own privacy notice to their clients.

5. AI features

Coachible includes AI-assisted features that may process prompts, business information and coaching information selected by the user to generate summaries, suggestions, plans, content or other outputs. Users should review AI outputs before relying on or sharing them. AI output may be inaccurate and is not a substitute for professional judgement.

Coachible uses service providers to deliver AI and infrastructure features. We will keep provider information and relevant processing details available to customers and update them when material providers change. Do not enter information into AI features that you are not authorised to share.

6. Sharing and service providers

Information may be handled by infrastructure, hosting, authentication, AI, file storage, email, payment and customer-support providers where necessary to operate the service. We do not sell personal information. We make information about relevant service providers and sub-processors available to customers. Coaches will be informed of sub-processors used to process their clients’ data.

We may disclose information where required by law, to protect users or the service, or as part of a genuine business reorganisation subject to appropriate safeguards.

7. International transfers

Some service providers may process information outside the UK. Where personal information is transferred outside the UK, Coachible will use an applicable lawful transfer mechanism and appropriate safeguards where required by data protection law.

8. How long we keep information

We retain information only for as long as needed for the purposes described, including account operation, legal and accounting requirements, dispute resolution, security and backup cycles. Retention periods depend on the type of information and the purpose for which it is held. Customers can request information about export and deletion arrangements by contacting us. Coaches should maintain their own retention rules for client records.

9. Security

We use appropriate technical and organisational measures intended to protect information. No internet service can guarantee absolute security. Coaches are responsible for protecting their account credentials, controlling team access and ensuring that client information they upload is appropriate.

10. Your rights

Depending on the circumstances, UK data protection law may give you rights to access, correct, erase or restrict use of your personal information, object to certain processing, request portability, or withdraw consent where processing relies on consent. To exercise rights relating to information controlled by a coach, contact that coach first; Coachible will assist the coach where required by its processor obligations.

You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.

11. Children

Coachible is a business platform intended for adults providing coaching services. It is not designed for children to create independent accounts. Coaches must not upload children's information unless they have assessed and met all applicable legal requirements.

12. Changes and contact

We may update this policy as the service and legal requirements evolve. The current version and its effective date will be shown on this page. For privacy questions, email hello@coachible.com.
